Export Documentation Checklist for First-Time Exporters

A standard export file contains the commercial invoice, packing list, bill of lading or air waybill, and certificate of origin. Agricultural cargo usually adds a phytosanitary certificate and a fumigation certificate; food-grade goods often add a health certificate and a certificate of analysis.

Three errors cause most delays. First, a description on the invoice that does not match the bill of lading. Second, an HS code chosen for convenience rather than accuracy, which triggers inspection and reclassification. Third, missing destination-specific attestations — some markets require legalisation by their embassy, which cannot be arranged after the vessel sails.

Build your document pack against the destination's requirements before production finishes, not after loading. Confirm with the consignee's customs broker in writing which documents they need in original and which can be presented electronically.

Keep a scanned set of every document in one place. When a query arises at destination, being able to send the complete file within the hour is often the difference between a same-day release and a week of demurrage.
